About the job

We’re looking for an Executive Assistant to support our CEO, as we continue to grow and expand Nomod. This is an exciting opportunity to work directly with the CEO, providing high-level administrative support, managing complex schedules, and assisting with strategic initiatives across multiple regions. The ideal candidate will have significant experience in supporting C-suite executives, a keen eye for detail, and the ability to thrive in a fast-paced, startup environment. You will be instrumental in helping the CEO stay organized, ensuring the smooth flow of operations, and enabling Nomod’s continued success.

As Executive Assistant, you will play a pivotal role in ensuring the CEO has the time, resources, and support needed to drive the company’s vision and objectives forward.

As an Executive Assistant you will:

  1. Calendar & Schedule Management

    • Manage the CEO’s calendar: Schedule, prioritize, and coordinate meetings across time zones, ensuring smooth transitions between commitments.

    • Handle any last-minute changes, reschedules, and time-sensitive adjustments efficiently.

    • Ensure the CEO is always fully briefed ahead of meetings and events with detailed agendas, background materials, and logistical details.

  2. Travel Management

    • Coordinate complex travel arrangements, including flights, accommodations, and ground transportation for the CEO and occasionally the leadership team.

    • Prepare detailed travel itineraries and ensure the CEO has all necessary documents and materials for business trips.

    • Ensure seamless travel experiences, managing any issues or changes as they arise.

  3. Communication & Information Flow

    • Manage the CEO’s inbox: Screen and prioritize emails, filter through communications, and draft responses where needed.

    • Act as the primary point of contact for internal and external communications, ensuring messages are relayed efficiently and professionally.

    • Draft, proofread, and edit documents, presentations, and other communications as required.

    • Maintain the highest level of discretion and confidentiality when handling sensitive information.

  4. Event Planning & Coordination

    • Organize and coordinate events, meetings, and conferences, both virtual and in-person, ensuring everything is arranged to the CEO's specifications.

    • Manage event logistics, including venue selection, catering, audiovisual needs, and guest lists, while maintaining budgets.

    • Assist with the creation of promotional materials or content for events and meetings when required.

  5. Business Operations Support

    • Assist with the preparation of reports, presentations, and business documents for board meetings, client meetings, or investor updates.

    • Help the CEO with strategic initiatives, including coordinating action items, tracking progress, and following up on deliverables.

    • Maintain a high level of organization and oversight on key company projects and deadlines.

  6. Cross-functional Liaison

    • Act as a liaison between the CEO and internal teams, clients, and external stakeholders.

    • Coordinate with teams in marketing, sales, finance, and product to ensure that the CEO is aligned with company-wide objectives and operations.

    • Manage relationships with key external partners or clients and help facilitate effective communication on behalf of the CEO.

  7. Ad-Hoc Tasks

    • Take on any other ad-hoc tasks as required by the CEO, including personal errands or project support.

    • Be the go-to person for problem-solving, troubleshooting, and ensuring that any urgent issues are addressed promptly.

What we’d like

You do not need to be intimately familiar with any of the technologies that we work with. Great people are effective at quickly learning what we use or introduce us to new ways of working.

Having said that, we think an Executive Assistant should:

  • 4+ years of experience as an Executive Assistant, supporting C-level executives in a fast-paced, high-growth environment.

  • Experience managing complex calendars, travel arrangements, and high-stakes meetings.

  • Exceptional organizational skills, with the ability to handle multiple priorities and manage changing demands effectively.

  • Strong experience in event planning, from logistics to guest coordination and materials preparation.

  • Proficient in Google Workspace (Docs, Sheets, Drive), Microsoft Office (Excel, PowerPoint, Word), Slack, and Zoom.

  • Excellent written and verbal communication skills in English; proficiency in Arabic is a plus.

  • Ability to handle confidential information with the utmost discretion and professionalism.

  • Ability to work independently, take initiative, and manage tasks with minimal supervision.

Nice to have

  • Knowledge of fintech solutions, digital payment systems, or SaaS products.

  • Experience working in a high-growth or startup environment is an advantage.

  • Exposure to business operations.
